Alarms & out-of-hours

What counts as “out of hours”?
Before 8am, after 5pm, and weekends. During these times the alarm system is live and floors may be set, so everyone coming in or leaving needs to follow the alarm steps below.
I’m the first person into the building out of hours - what do I do?
You’ll find the common areas unset. To access your floor:
  1. Hold your alarm fob to the panel
  2. Use the down arrow so your floor appears
  3. Use the right arrow to change the S to U
  4. Hit the tick button - “System Unset” should appear on screen
  5. Mark yourself IN on the boards, left of the alarm panel

If “System Unset” doesn’t appear, or the panel shows a fault, don’t keep trying - ring 01303 764270 and we’ll sort it.

I’m the last person leaving out of hours - what do I do?
To secure your floor:
  1. Mark yourself OUT on the boards, left of the alarm panel
  2. Hold your alarm fob to the panel
  3. Use the left arrow to change the U to S
  4. Hit the tick button
  5. You can now leave the building

Check you’re the last one out before setting - anyone still on the floor will trip the alarm.

The swipe board - when do I have to sign in and out?
The swipe board is part of building security. Mark yourself IN whenever you’re in the building on a weekend, after 5pm on a weekday evening, or before 8am in the morning - and OUT when you leave. As a workstation member on the 3rd or 4th floor, use the Workstation label on the board for your floor.
I’ve lost my fob
Report it to the team straight away so it can be deactivated - alarm fobs within 24 hours at the latest. Replacement fobs are £10. If a member of your staff leaves, collect their fob and hand it back so the system stays tidy.

Day to day

Hours of operation
The building is staffed 8.30am–5pm Monday to Thursday and 8.30am–4.30pm Friday (except bank holidays). The ground-floor shutters close at 7pm. Workstation members have out-of-hours access once alarm training has been done - that’s what this page is for. If you’re working alone outside core hours, have a read of the lone working note below.
Kitchens, tea & coffee
Kitchens are on floors 1–4 and in the Workbench area. In the 3rd and 4th floor kitchens, tea, coffee and sugar are provided for workstation members. The cold tap does both: pull forward for ordinary cold water, push back for filtered drinking water. Fridges are cleaned monthly and anything out of date gets binned - label your milk!
Wi-fi
The building Wi-fi is The Workshop, password workshopfolkestone - ideal for phones and tablets. Keep laptops off the shared Wi-fi except in meeting rooms and breakout areas, as overuse slows it down for everyone.
Post & deliveries
Post arrives between 10.30am and midday and is sorted to each unit by the team. Parcels can only be accepted during staffed hours - make sure couriers have your business name, floor and unit on the label. The team can sometimes sign for packages but can’t be responsible for them, so for anything valuable arrange delivery when you’re in.
Parking & bikes
The rear car park is private - no member parking, though loading and unloading can be arranged with the team (it’s open 8.30am–6pm). Members can park at the Harbour Arm car park for £5 a day (ANPR - you must register your plate with the team first). The bike store is at the rear of the building by the car park; bikes are left at your own risk, so lock them well.
Recycling & rubbish
Paper, metal, glass and plastic recycling bins are in the kitchens on floors 1–4. Shred anything confidential first. Batteries and LED bulbs go in the box in the 3rd floor kitchen. Flatten cardboard and leave it by the black bins on the back wall - it’s collected on Tuesdays. Bagged rubbish goes in the cupboard at the back of the 2nd floor kitchen; never leave food waste outside an unlocked bin.

Safety

The fire alarm is going off
Leave by the nearest escape route and head to the meeting point: Tram Road car park. The alarm automatically alerts the fire service, but call 999 too if you see danger. Out of hours there’s no fire marshal sweep - so it matters that you’ve marked yourself IN on the board, and you must get yourself out and to the meeting point. Don’t re-enter until the team says it’s safe.
First aid
First aid kits are in the kitchen areas on floors 1–4, with signage listing the trained first aiders and their locations. In an emergency call 999 first, then let the team know on 01303 764270.
Accidents & near misses
All accidents, incidents and near misses - however small - should be reported to the team as soon as possible so we can put things right. Serious ones: phone 01303 764270 straight away.
Working alone out of hours
Outside staffed hours there may be nobody around to help if something goes wrong. Think about the risks before lone working - let someone know you’re in, keep your phone on you, and if your work involves anything physical (lifting, ladders, machinery) save it for staffed hours.
Can I use the slide?
The slide runs from the 4th to the 3rd floor and yes, you can - after signing a disclaimer (ask the team for the form). Flat shoes, nothing loose, no valuables in pockets, and remember there’s a drop at the end - feet down as you land. Give the 3rd-floor landing area a wide berth when walking past; people arrive at speed. Skip it entirely if you have back or leg trouble.

For anything that isn’t urgent - a blown light (don’t change bulbs yourself), a leak, a wobbly chair - use the report form and the team will pick it up. For anything dangerous, call 01303 764270 right away. Report an issue
